Agreeing on a testing programme and preparing a sample

What to tell the laboratory before shipment: the task, material, parameters, documents and reporting requirements.

Start with the decision, not a list of tests

A batch may need different programmes depending on the purpose: incoming inspection against a specification, a comparison of materials or investigation of a particular parameter. State the decision the data should support.

For example, “Compare two samples against the parameters in the supplier specification” is more precise than “Run a full analysis”. If you have not selected the parameters, describe the task and provide the documentation you have.

Five points for the initial request

  • Material name, grade and composition from the specification, if known.
  • Condition and origin: fresh or used, with sampling point and date where available.
  • Purpose: checking a requirement, comparing batches or obtaining information for a further decision.
  • Parameters and documents: required measurements, specifications and receiving-party requirements.
  • Samples: a separate identifier and the required parameters for each one.

Using the catalogue

Select a material or find a parameter and open its page. Check the sample scope and full reference document: similar names alone do not establish equivalent applicability.

Add candidate entries to your programme. This is a starting list for agreement, not automatic confirmation that every method applies. For a combined entry, state which parameters you actually need.

Agree on quantity and packaging before shipment

There is no universal sample mass for every material and method. Quantity, container, preparation and storage depend on the sample and programme. Disclose known hazards and provide a material document where available.

Confirm the receiving address and recipient with the laboratory first. The registered address in the footer is not a shipping instruction. Labels on containers should match the sample identifiers in your request.

Clarify the deliverable

Agree on parameters, the assessment document, reporting format, price and timing before work begins. If another organisation will receive the report, provide its requirements in advance.

Attach an earlier report if a comparison is required. Changes in method, conditions or sample state matter when defining the task; identical table headings do not guarantee comparable results.
